Interior Design Quotation Format
Two interior quotations for the same flat can differ by lakhs, and the customer usually cannot tell why. The difference is almost always in materials, finishes and hardware that were never written down. A clear interior design quotation turns your price into a specification the customer can compare, so you compete on quality instead of only on the final number.
This page shows how to structure an interior design quotation, which material details to always specify, and a sample for a 2BHK flat.
Organise the quotation room by room
Customers think in rooms, not in materials. Group your quotation by kitchen, master bedroom, second bedroom, living room and so on, with a subtotal for each. When the budget is tight, the customer can drop or postpone a room without asking you to rework the whole quotation. Add common items such as design fee, false ceiling and site supervision at the end.
Material details that must be written
- Carcass material: BWP (boiling water proof) plywood, MR plywood, HDHMR or particle board. Kitchens and bathrooms need BWP or a water-resistant board.
- Thickness: 18 mm for carcass and shutters, 6 mm or 8 mm for back panels is common. Thinner boards are a usual way to cut cost unseen.
- Finish: laminate, acrylic, PU paint, veneer or membrane, with the thickness of laminate (for example 1 mm).
- Hardware: hinges, channels, lift-ups and baskets, with brand and whether soft-close. Hardware is often a large share of the cost.
- Countertop: granite, quartz or other, with thickness and edge profile.
- Measurement basis: say whether furniture is priced on front (elevation) area in square feet, on running feet, or as a unit price.

Design fee, revisions and 3D views
State how you charge for design: a fixed fee, a per square foot fee, or included in execution. Mention how many 3D views and revisions are included. Customers who change the kitchen layout five times should know in advance that revisions beyond the included number are charged, and what each costs.
If the design fee is adjusted against execution when the customer gives you the full job, write that clearly. It is a strong reason for them to give you the work rather than take your drawings to a cheaper carpenter.
Payment stages and timeline
Interior jobs are usually paid in stages tied to progress. A common pattern is a booking amount at signing, a large payment before production of modular units, a payment when material reaches the site, and the balance at handover. Write the percentage and the trigger for each stage.
Give a timeline in weeks from design sign-off, not from the quotation date, and list what the customer must do on time, such as approving designs and clearing the site, so delays are not blamed on you.
Common exclusions
- Civil work: breaking walls, plumbing changes, tiling and waterproofing.
- Appliances: chimney, hob, oven and sinks unless listed.
- Painting of walls and ceilings outside the false ceiling scope.
- Loose furniture, curtains, decor items and lights unless quoted.
- Society deposits, lift charges and debris removal permits.
Quote interiors faster
Interior quotations are long and change often as the customer adjusts the design. In Quotely Pro you save your standard units and per square foot rates, copy a previous 2BHK quotation, adjust the areas and download a branded PDF with your terms to send on WhatsApp. When the booking amount comes in, you can give an advance receipt. The electrical side of interior work is covered in the electrical work quotation format.
Frequently asked questions
What should an interior design quotation include?
An interior design quotation should list work room by room, with carcass material and thickness, finish, hardware brand, countertop, measurement basis, design fee and number of revisions, payment stages, timeline from design sign-off, exclusions such as civil work and appliances, and warranty terms.
How do interior designers charge for modular kitchens?
Most interior designers in India price modular kitchens per square foot of front area, with countertops per running foot and hardware listed separately. Some quote a fixed unit price. The quotation should state which basis is used so customers can compare correctly.
What is the difference between BWP and MR plywood in a quotation?
BWP (boiling water proof) plywood resists water and is used for kitchens and wet areas. MR (moisture resistant) plywood is cheaper and suits wardrobes and dry areas. Writing the plywood grade in the quotation prevents disputes about material quality.
What are typical payment terms for interior design work?
A common structure is a booking amount at signing, a large payment before modular production starts, a payment when material reaches the site, and the balance at handover. Write the percentage and trigger for each stage in the quotation.
Should the design fee be shown separately?
Yes. Show the design fee as its own line with what it covers, such as 2D layouts, 3D views and number of revisions. If you adjust it against execution when the customer gives you the full job, mention that in the terms.
